Women in International Security (WIIS) Brussels takes your privacy seriously and manages your data in accordance with the European Union’s General Data Protection Regulation (GDPR).

How does WIIS Brussels collect personal data?

WIIS Brussels only collects personal data that you give us yourself by signing up for the newsletter and event invitations, attending events, applying for the mentoring programme and /or becoming a paying member .

What personal data does WIIS Brussels process?

WIIS Brussels only collects the necessary personal data needed to carry out a service requested by you. This may include your first name, last name, employer, position in the organisation, email, phone number, address, and bank account details. Pictures might be taken during events and used to promote the organisation on its website or social media.

When and why does WIIS Brussels process personal data?

WIIS Brussels only processes these data in certain situations:

  • if you have explicitly given your permission;

  • or, if it is necessary to process the data in order to provide a service you have requested (e.g. if you subscribe to receive event invitations and newsletters, if you register for an event, if you apply for the mentoring programme and / or if you request to become a paying member);

  • or, if we are legally obliged to process the data;

  • or, if we are contractually obliged to process your data (e.g. funding projects).

How does WIIS Brussels treat personal data?

Sensitive personal data are always treated as confidential and never made public. Only members of the WIIS Brussels Steering Committee are able to process your personal data for the above-mentioned purposes. The Steering Committee is briefed on privacy regulations. We never pass on your contact details to third parties for commercial purposes.

Does WIIS Brussels keep my personal data safe?

Your data are processed safely, we use secure technologies and measures to protect your data from unauthorised access, use, loss or publication. These technologies and measures are tested on a regular basis and updated when necessary. We use usernames and passwords on all our systems and regularly back-up data to be able to recover them in case of physical or technical incidents. WIIS Brussels uses Mailchimp to send event invitations and newsletters and Stripe for online membership fee payments. The privacy policies of these services are available here and here.

What can I do about my own personal data?

At the bottom of each mail you receive from WIIS Brussels, you will have the possibility to view, update and correct any of your contact details or unsubscribe. If you have never been a member and unsubscribe from the mailing list, your personal data will be deleted immediately. If you have been a paying member and decide not to renew your membership, WIIS Brussels can keep your data for a maximum of two years in order to fulfil budgetary and tax related obligations.

You have the right to be ‘forgotten’. To request this, please contact infor@wiis-brussels.org

If you consider that your data have been handled incorrectly, you can submit a complaint to the Privacy Commission.
